Terms & Conditions
TERMS & CONDITIONS AND CLUB RULES
At Newton Mearns Gymnastics Club (MGC), the safety, wellbeing and enjoyment of our gymnasts is our highest priority. The following Terms & Conditions and Club Rules help us maintain a safe, supportive and professional environment for all members.
By booking or attending MGC sessions, you confirm that you have read, understood and agree to comply with these Terms & Conditions, alongside our Code of Conduct and safeguarding policies.
These Terms & Conditions replace any previous arrangements or communications.
1. Participation & Inherent Risk
Gymnastics is an exciting and dynamic sport involving movement, height and specialised equipment. While we take every reasonable step to provide a safe environment, qualified coaching and appropriate supervision, there is an inherent risk of injury in any physical activity.
By enrolling your child in MGC sessions, you acknowledge and accept these risks and confirm that your child is physically fit to participate.
MGC will always follow recognised coaching standards and safety procedures. However, we cannot accept liability for injuries sustained during normal participation where appropriate supervision and safety measures have been followed.
2. Arrival & Collection
To ensure safety and smooth running of sessions:
Please arrive on time. Warm-up is an important part of every class.
Drop-off and collection should take place via the rear fire door of Parklands Sports Hall, unless otherwise arranged for preschool classes.
Parents/carers must come to the door to collect their child. For safety reasons, children will not be permitted to cross the car park alone.
If another adult is collecting your child, please inform the coach in advance.
Children will not be released to anyone under the age of 18.
Preschool gymnasts must be collected by a parent/carer.
Please be mindful of other Parklands users and avoid entering booked areas such as badminton courts.
3. Observation
Due to space and safeguarding considerations, we are generally unable to accommodate class observation.
If a child is unsettled or requires additional support, observation may be arranged with prior agreement from MGC.
Observation from the balcony is not permitted.
Where observation has been approved, mobile phone use is not permitted.
Parents/carers are not permitted on the gymnastics floor or equipment area at any time.
4. Photography & Videography
Photography and video recording during classes are not permitted.
If photographs are required for a specific purpose (for example, a school project), please contact MGC management in advance.
Anyone found recording without permission will be asked to stop immediately and delete the material.
5. Participation & Safety Guidelines
To keep everyone safe:
Gymnasts must complete the full warm-up.
Please inform the coach at the start of the session of any illness, injury or changes to medical conditions.
Appropriate sportswear must be worn. The following are not permitted:
Clothing with zips, belts, frills or dangling attachments
Skirts or jeans
Friendship bands on wrists or ankles
Religious bands may remain but will be securely taped.
Long hair must be tied back.
Jewellery is not permitted in line with Scottish Gymnastics requirements. Failure to comply may invalidate insurance cover. Newly pierced earrings may be taped for a maximum of three months only.
Socks and shoes must be removed before using equipment (unless advised otherwise during warm-up).
Gymnasts must not use equipment without coach supervision.
If a gymnast behaves in a way that may put themselves or others at risk, they may be asked to sit out for part or all of the session.
Bullying or inappropriate behaviour from gymnasts, parents or carers will not be tolerated and may result in suspension or removal from the club.
6. Insurance
All gymnasts must hold valid Scottish Gymnastics membership and insurance. Any participant without current insurance will not be able to take part in sessions.
Membership renews annually from 1st October.
7. Fees & Payment
Fees must be paid in full before the start of each term.
A late payment fee of £5.00 per child per week will apply where payment is not received by the specified date.
Continued non-payment may result in your child’s place being offered to another gymnast.
Payment can be made via Class 4 Kids or by prior arrangement in cash.
If you are experiencing difficulty with payment, please contact us in advance - we are always happy to discuss this confidentially.
8. Absence
Unfortunately, missed classes cannot be exchanged, transferred or credited.
If your child will be absent, please notify MGC via email or the official Facebook page. Coaches should not be contacted via personal numbers.
9. Refunds
Gymnastics blocks are non-refundable and non-transferable.
Club kit and costumes are also non-refundable.
10. Class Cancellations
In the event that classes are cancelled due to extreme weather, facility closure, public health guidance, security concerns or other unforeseen circumstances beyond our control, sessions will not be refunded or credited.
11. Personal Property
MGC cannot accept responsibility for loss or damage to personal belongings brought onto the premises. Lost property will be handed to Parklands reception.
12. Admission & Removal
MGC reserves the right to refuse admission or ask a gymnast to leave where necessary. This may occur in cases of:
Persistent misbehaviour
Breach of club rules or policies
Damage to property
Abusive or inappropriate conduct
In such circumstances, refunds will not be issued.
13. Medical Emergencies
In the event of an accident or medical emergency, MGC may administer basic first aid and, if necessary, seek appropriate medical treatment if a parent/carer cannot be contacted immediately.
14. Data Sharing Partnership
MGC works in partnership with New College Lanarkshire to support participation certification and coach development. Limited participant data may be shared in accordance with their privacy notice:
